Fax cover sheet FAQs
Do I need a fax cover sheet?
Yes, but not always. A fax cover sheet is required in many healthcare and legal contexts where confidentiality matters. Even when not required, a cover sheet helps your fax reach the right person and tells the recipient how many pages to expect.
Skip the cover sheet only if the recipient is expecting your fax and you have confirmed the number is correct.
What should I write in the message section?
One to three sentences: what the document is, what you need the recipient to do, and anything that helps them route it, like “Attn: Billing”.
What's the difference between confidential and urgent cover sheets?
A confidential sheet carries a privacy notice asking anyone who receives it by mistake to contact the sender and destroy it. An urgent sheet flags the fax for immediate attention with a bold URGENT label. A fax can be both.
Does the cover sheet count toward the page count?
Yes. A 3-page document plus the cover sheet is 4 pages.
How many pages should a cover sheet be?
One.
Can I reuse the same cover sheet?
Yes. Save a copy with your own details filled in, then update the recipient, date, page count and message each time.
Are fax cover sheets required for medical or legal documents?
HIPAA does not mandate a cover sheet for medical documents, but it strongly recommends one, and most healthcare organizations require them as standard policy. A compliant sheet includes a confidentiality notice.
For legal documents, attorney-client privilege and confidential business information should always travel with a cover sheet that includes a confidentiality notice. Many courts and law firms will not accept faxed documents without one.
